Description:
Student Assistants will work within the Office of General Services Procurement Services business unit. The Procurement Services business unit is responsible for establishing and managing centralized statewide contracts available for state government and other authorized users. The Student Assistant will assist contract management specialists with day-to-day activities as indicated below. In addition, there may be the opportunity, based on skill sets and course of study, to participate or be assigned to special projects. The set starting time for the position would be between 8am and 9am. The Student Assistant can work up to 7.5 hour per day five days per week, but part-time hours would be accepted.
Some of the duties include, but are not limited to, the following:
-Request forms and documents from vendors seeking a contract, via email/phone.
-Review forms and documents submitted by vendors for accurate completion, and if necessary, seek clarification via email/phone.
-Maintain paper and electronic file records of the forms, documents, and emails.
-Review Excel workbooks submitted by contract users, and copy the information provided into another Excel workbook.
-Review Excel workbooks submitted by vendors, create a summary Excel workbook of vendor responses, and provide the results to contract users.
-Conduct internet research to gather information about vehicle-related products and services
-Other clerical/office assistant duties as assigned, which may include review of vendor sales reports and pricelists.
-Gold Book - assist Contract Management Specialist with updates to contractor master spreadsheet.
-Assist with any other administrative assistance as needed by team.
